Selecting the right venue for your meeting / conference / event is essential for getting the right message across and is really important for many reasons.
Style of venue – are you looking for a large corporate, purpose built venue? A dedicated Conference & Training venue where there are no distractions from leisure guests? A venue with character? One that prides itself on sustainability, do you need to have accommodation on site, do you want to give your guests the ‘WOW’ factor with a unique venue that they may not have been to before?
Location – depending on where your delegates are travelling from you may need to find a venue that is close to an airport, has good motorway links, do you prefer city centre, London venues or rural, coastal?
Capacities / Layout – consider the maximum capacity you will require and the size of room will depend on your preferred seating arrangement whether it be Theatre Style, Cabaret, U-shape, Boardroom, Round tables etc. Also, consider the space that may be required for AV, set, staging etc., particularly if you are using a back projection set as this takes up much more space or if you require space for exhibition stands etc.
Accommodation – will your guests be single occupancy or sharing a room? Will they all expect to have the same standard of accommodation or for a smaller, character property do you have a rooming list to ensure that the best rooms are allocated to the right guests etc.
Dining options – will you require private dining either for lunch or dinner, for conferences / meetings that take place over a number of days it is often preferred to be situated somewhere that the guests can venture out in the evening to dine off site – some hotels have pubs within their grounds which often provides a good option – not far from the venue and an informal atmosphere as well as change of scenery…..
Outdoor Space – will you want to do any activities / team building outdoors and will it be motorised / non-motorised? Or you may want the option to have a BBQ outside weather permitting?
Accessibility – are any of your guests likely to have requirements for wheelchair access, hotels generally have only a limited number of rooms that are suitable for disabled guests and the facilities in them vary from hotel to hotel so we would need to check out exactly what they can offer and ensure that all areas of the venue are accessible to any wheelchair users
Budget – last but definitely not least - it is important to have an idea of the overall budget to cover the cost of the venue hire, food & beverages and accommodation, it gives us a starting point and we do our very best to negotiate with venues so that you are offered the very highest standard of venue possible.
